This is an onsite role and requires regular in-person attendance at the assigned work location.
Job Responsibilities and Duties:
Leadership and Department Oversight
- Supervise, coach, train, and develop Accounts Receivable team members to ensure accurate processing, strong customer service, and consistent compliance with company procedures.
- Assign and balance workload across AR team members, monitor daily priorities, and follow up on outstanding tasks, escalations, and aging issues.
- Establish clear expectations for collections, cash application, invoice accuracy, documentation, customer account maintenance, and reporting deadlines.
- Provide guidance to team members on complex customer accounts, deductions, short payments, disputed invoices, unapplied cash, credit issues, and escalation situations.
Hands-On Accounts Receivable Operations
- Oversee and actively support invoicing, cash application, payment research, customer account reconciliations, deductions, adjustments, credit memos, and customer account maintenance.
- Personally assist with processing and resolving AR transactions when volume, deadlines, staffing, or business needs require direct support.
- Conduct customer outreach, collection calls, and follow-up communications for past-due invoices, payment commitments, disputes, and account resolution.
- Review customer accounts for payment discrepancies, short pays, deductions, unapplied cash, disputed invoices, and collection risk, and drive timely resolution.
- Prepare, review, and distribute customer statements, aging reports, collection status updates, account reconciliations, and AR schedules.
Collections, Credit, and Customer Issue Resolution
- Develop and manage collection strategies to reduce past-due balances, improve cash flow, and support working capital goals.
- Partner with Sales, Customer Service, Operations, Finance, and customers to resolve billing disputes, shipment issues, documentation gaps, deductions, and payment delays.
- Support credit reviews, customer risk monitoring, credit limit recommendations, account holds, and payment term discussions as needed.
- Escalate high-risk accounts, unresolved disputes, and significant collection concerns to leadership with clear facts, recommended actions, and potential financial impact.
Month-End Close, Reporting, and Controls
- Support month-end and year-end close by reviewing AR activity, preparing reconciliations, validating balances, and providing required schedules and documentation.
- Ensure AR transactions are processed in accordance with internal controls, company policies, accounting requirements, and audit expectations.
- Prepare and analyze AR metrics, aging trends, collections performance, unapplied cash, deductions, DSO, and other KPI reporting for leadership review.
- Maintain accurate customer records and ensure documentation is retained properly to support audit, compliance, and business requirements.
Systems, Process Improvement, Automation, and AI
- Learn, operate, and support AR processes across current ERP systems and assist with transition activities for new acquisitions, integrations, or system changes.
- Participate in AR workshops, process documentation, testing, user acceptance testing, system cleanup, and implementation support activities as requested.
- Identify process gaps, recurring issues, manual work, and opportunities to improve accuracy, speed, department visibility, and customer responsiveness.
- Research, recommend, and help implement automation and AI tools that improve AR workflow, daily planning, collections prioritization, reporting, cash application, and customer account follow-up.
- Promote practical use of technology and continuous improvement while ensuring controls, documentation, and accuracy remain strong.

- Minimum of 7 years of progressive accounts receivable, credit, collections, cash application, or finance operations experience preferred.
