  1. PURPOSE:

The Records Management clerk is responsible for:

  1. Ensuring site-wide compliance with J&J Records Management Policy

  2. Supporting auditing, archiving, control & retrieval of proprietary & published documents & information

  3. Help to the Orchard Protocol execution

  4. Supporting on General actives related to Doc Control department

     

  1. EDUCATION / DEGREE REQUIRED:

    1. High School Degree

       

  1. KEY SKILL / KNOWLEDGE REQUIREMENTS:

    1. SKILL SETS:

      1. Bilingual: English/ Spanish required

      2. GMP/ ISO knowledge preferred

      3. Presentation, Communication and Writing Skills- at all levels of organization

      4. Decision-making, Reasoning, Self-directed, Detail-oriented, Problem solving

    2. COMPUTER SKILLS:

      1. Personal computer skills, Windows: word processing, project planning, presentation, e-mail and spreadsheet software

      2. Understanding of document, data control & control of records applications

    3. JOB EXPERIENCE:

      1. 2 – 4 years progressive experience within a manufacturing environment (medical device environment preferred)

KEY JOB RESPONSIBILITIES: 

  1. POLICIES: Know & follow EES policies & procedures related to work activities performed in area of responsibility

  2. TRAINING: Complete training in area of responsibility within allowed time-period.  Training is required for changes in existing policies & procedures, for new assignments & for implementation of new policies & procedures.  Complete required periodic re-training in areas such as safety and environmental

  3. SAFETY: Follow all company safety policies & other safety precautions within work area.  Promote safety to all associates that enter work area.

  4. Aid to the execution of the overall records transfer project per the Orchard protocol requirements

  5. Coordinate, review & revise EES records management policies & procedures in accordance with J&J policy

  6. Integrate records management with responses to outstanding subpoenas & discovery requests

  7. Schedule & execute an annual records control day during which all files will be reviewed & retained or destroyed as appropriate

  8. Act as liaison between EES & J&J on all records management related issues

  9. Apply information learned to regulatory activities at EES

  10. Aid to Conduct ongoing records compliance & vital records protection auditing, providing feedback as required

  11. Maintain working knowledge of search capabilities of relevant proprietary databases

  12. Assist to Train other staff as necessary, such as record coordinators

  13. Assist to Conduct surveillance audits of off-site records storage

  14. Assist to Follow J&J and EES Records Management Policies for Convenience Information, Records Retention Schedules, Training and Education, Document Hold Notices, Records Cleanout, Inactive Records and Information Management, Vital Records and third- party vendor if applicable.

  15. Assist in maintenance of records management program and record database. Implements resolutions for record protection as directed. Assists in coordination of the systematic review, approval, and destruction of offsite records. Coordinates and supports training programs and presentations to various audiences. Participates in departmental compliance program. Monitors noncompliance issues and compiles information for management. Answers basic customer questions and provides assistance to employees on matters related to good record management practices. Participates in other tasks and projects as needed. Maintains record retention schedule. Conducts research and maintains legal reference index
